Wärtsilä Global Business Services (WGBS) supports the Wärtsilä companies in financial accounting or other operational tasks and acts as a gatekeeper to ensure compliance. We are now looking for an On-Call Trainee in eInvoicing to join our eInvoicing team. This is a temporary position for approximately four months located in Vaasa, Finland, with hybrid work possibilities. Working hours are agreed upon upon the need with the manager, with a maximum of 25 hours/week. This On-Call Trainee position is meant for a person who is currently studying for a degree in University of Applied Sciences or a University located in Finland.
In the role of On-Call Trainee, eInvoicing you will be involved with customer invoicing, especially spare parts invoicing activities and distribution of created invoices through e-invoicing platforms. You are involved in all related activities of planning, preparing, finalizing and supporting companies and customers receiving invoices through the e-invoicing platforms. We offer you an opportunity to work with a small team of experts with diverse expertise in customer invoicing, having a broad global network consisting of process stakeholders in different businesses and global functions, as well as enormous learning possibilities.
In this role, your main responsibilities are:
- Creating customer invoices/e-invoices and handling invoice distribution via e-invoicing platforms and other distribution methods
- Monitoring e-invoicing processes and platforms: identifying, investigating, determining and fixing root causes related to e-invoicing bottlenecks and ensuring corrective actions and efficient communication between the process stakeholders
- Maintaining and creating change requests for customer e-invoicing tools and system configurations
- Ensuring high-quality, harmonious and compliant processes by following legal requirements, Corporation guidelines, as well other process requirements
- Creating, maintaining and updating the e-invoicing process related to internal documentation
- Assisting internal and external stakeholders with questions related to customer invoicing and e-invoicing
- Participating in development projects and migrations in customer e-invoicing area
- Participating in a continuous process and tool development by giving active input
- Other customer invoicing-related tasks, such as period-end closing activities
An ideal candidate will have:
- Open studies in a relevant field (Economics, Financial Accounting, Business Administration, International Business or equivalent
- Excellent communication skills and fluency in English, both written and spoken
- Self-going, fast learner, good team player, flexible
- Open-minded, fast to adapt to changes
- Good IT skills (including MS Office programs)
- Pro-active, analytical, systematic, and organised way of working
- Excellent customer service skills and problem-solving capabilities
