Publications Assistant - Roster

Responsibilities

Under the supervision of the Editorial and Publishing Associate, the incumbent ensures execution of transparent and efficient publications services at UNU-WIDER through promotion of collaborative, client-oriented approach in the publications pipeline.

The Publication Assistant also works in close collaboration with internal and external authors and in-house project teams for resolving publication-related issues and information exchange.

1. Coordinate and monitor internal publications, especially WIDER Working Paper series, focusing on achievement of these results:

Co-ordinate outsourcing of copy-editing of scientific research papers (primarily working papers).
Act as focal point of the external copy editors team.
Compile and maintain a database of new submissions, deadlines, special needs, etc.
Monitor timely turnover of incoming papers/studies for processing.
Request and monitor estimates of future incoming working papers from the work programme via resident and non-resident research fellows and other affiliates.
Monitor and assess copy editors' work and provide feedback with regard to editing standards.
Contribute to overviewing the budget and invoices for software licenses and external copy editors.

2. Control the quality of assignments and finalize them focusing on achievement of these results:

Run all new submissions via anti-plagiarism software; discuss with Senior Research Fellows/director those papers/studies with high reproduction content and decide on solutions/ways forward.
Check and finalize assignments returned by copy editors (corrections, tweaks, etc.).
Archive final text for the record.
Upload final publications/products to the website, with relevant bibliographic identifiers; and
Maintain metadata of high quality and up to date, in coordination with other teams at the institute and with external partners, such as ISBN agency and DOI provider.

3. Edit, proofread, format, and design focusing on achievement of these results:

Format, copy-edit, and ensure accuracy of content, terminology, grammar, syntax, punctuation, spelling, and conformity with the style of the Institute.

4. Contribute to development of publishing procedures and updates focusing on achievement of these results:

Develop knowledge and understanding of the various UNU-WIDER publication types and series, internal and external.
Contribute to the design and implementation of publishing procedures to ensure accuracy, clarity, as well as consistency.
Regularly evaluate existing workflows to ensure the most efficient processes are followed; and
Maintain files/records (both paper and electronic) for work unit..

5. Provide administrative support for the workflow of the Publications Team, other Units, and the Office, as required.

Assist Editorial and Publishing Associate when needed.
During absences of the other team member(s), assist in carrying out duties.
Deal with reproduction permissions and copyright transfers.
Collaborate with other teams and units to improve publishing processes and clarify the division of tasks.

6. Perform other duties as assigned by the supervisor

Key Performance Indicators

Research and publications databases are up to date
Quality and level of engagement with internal clients is of a high standard; timely and accurate advice on research resources and publishing is provided
Timely, complete, and accurate publishing activities/documentation are held
Information is easily available
Quality and level of engagement with partners, such as the digital object (DOI) identifier providers, is maintained

Qualifications
1) Education and certification
Completion of Secondary Education is required.
OR
Bachelor's Degree in Publications, Language, Business or Public Administration, Social Sciences and relevant fields will be given due consideration.

2) Required skills and Experience:
A minimum of five (5) years (with secondary education) or three (3) years (with bachelor's degree) of relevant work experience in copy editing, formatting, proofreading, publishing preferably in an academic and/or international setting.
Professional experience in copy-editing academic and publications is a strong advantage.
Working knowledge and experience using MS Office.
Working knowledge of anti-plagiarism detection software and LaTeX is an advantage.
Previous experience of working in an international development organization is an asset.

3) Language Requirements:
Fluency in English is required.
Knowledge of another UN official working language is an asset.

Remuneration
The successful candidate will be employed under PSA contract. UNU offers an attractive compensation package including an annual net salary of EUR 41,822.32, commensurate with the experience and qualifications of the candidate. Benefits include 30 days annual leave and a health insurance scheme.

UNU is not liable for any taxes that may be levied on the remuneration you receive under this contract. Payment of any such taxes remains the sole responsibility of PSA holders.
